The actual descriptions appearing in the menu are stored in a file called mmform.fi (see appendix 3). mmform.fi can be modified by any standard editor. The SLE editor included with System F & I will work nicely. Pressing F6 from the Master Menu will allow you to choose editing mmform.fi and will load the SLE editor automatically. Each item on the menu is described using two lines in mmform.fi. The first line is the menu description. The second line is the file containing the form description used by the system to properly format the data in the form. There are items on the forms menu that are not ordinarily thought of as forms. These items usually include: 1. Deal disclosure statement 2. Thank you letter 3. File label 4. File card It is possible to add your own "forms" to this menu (please see appendices 4 & 5). You might consider other types of letters. Jarvis Computer Software or any of its independent sales representatives will gladly give you quotations on new forms layouts or modifications of old forms. June 6, 2001 page 132 (s7BUSE(s0B After an item has been selected from the menu, the appropriate form will load. This step is very dependent on the speed of your computer and the speed of the disk system. The message "loading form...." will appear and then disappear when the form is fully loaded. If you are printing multiple copies of the same form, the form will not have to load a second time and much time will be saved. When the form is printed, alignment may not be perfect on the first line. Pressing "L" will move the paper 2.25 inches upward or about 1 revolution of a standard platen. Pressing "U" will advance the paper upward one line (one line is determined by the line spacing of the form and may be from 1/48th of an inch to about 1/6th of an inch). Pressing "D" will move the paper downward one line. Not all printers support backward movement. If your printer does not support backward movement, then pressing "D" will have no effect. You can press "S" for single step. The system will pause after each line of printing to allow you to adjust the form. If you want to abandon the form, you can press "^C" (while holding the control key down, press "c") and printing will cease. If you do not want to abandon printing, then press "P" for printing and the remainder of the form will be printed. Below is an example of a screen when a Louisiana title is being printed. You must first answer Yes to the prompt "Store Records & Delete Deal", as a precaution against accidentally choosing this option. It then transfers the deal information to the sold file, which is used by programs 13, 14 and 16 on the F&I Master Menu, and also by the the Service Merchandising system. It removes the record from the file of pending deals. It then prompts you whether to delete the vehicle information from the inventory file. If you are using the Accounting System, answer No to this prompt, so they can use the inventory information when entering the deal into accounting. Otherwise answer Yes. (s7BFIELDS(s0B The (s7Bphone(s0B (s7Bnumber(s0B, including the area code and the special code, is used to track the deal. The special code can contain any two characters and is used to distinguish between two deals in the same household or business. The special code field may be left blank. The phone number only accepts digits. The last (s7Bdeal(s0B (s7Bprice(s0B is automatically retrieved from storage and displayed on the screen. You can retrieve any previous contract still in the computer by entering the appropriate phone number and code. (s7BDealer(s0B (s7Bincentive(s0B is the money the dealership receives from the factory that reduces the dealer's cost. Do not enter the customer rebate. The customer rebate is just another source of funds and does not effect the dealer's profit margin. (s7BCost(s0B is the dealer cost of the vehicle sold. This amount is filled in with the cost from the new or used June 6, 2001 page 136 vehicle inventory record. You should check your accounting records before entering a value. This should include any reconditioning. The (s7Bholdback(s0B will be filled in from your inventory record. For used vehicles this field will be zero. The actual value of (s7Btrade(s0B is the price for which you can sell the trade in. This value may be substantially different from the trade-in allowance. (s7BSalesman's(s0B (s7Bcommission(s0B is entered as a percent. It can be entered as a dollar amount by moving to the next field. The (s7Bbuy(s0B (s7Brate(s0B is the rate that you get your financing. This rate is usually close to a percent lower than the rate quoted to the customer. The difference between the finance charge to the customer and the finance charge earned by the financing company is called the reserve, which accrues to your dealership. The (s7Breserve(s0B can be entered directly if you leave the buy rate at zero APR. The reserve can also be changed after you change the buy rate. The (s7Binsurance(s0B (s7Bcommission(s0B (s7Brates(s0B are entered as percents.
